Grand Finale Volunteer Information

Thank you for your participation in the second Grand Finale for Arts, Culture & Creativity Month! We’re excited to have you help us make this a grand success for Fremont — and we could not do this event without you.

Listed below are your instructions for the day.

Before the event

  • Download the event schedule to your phone ahead of your shift so you know what is going on where and can answer questions from attendees.
  • Know where you are going: The DTEC is located at the intersection of Capitol Ave. and State St.

General information

  • Parking is available in:
    • DTEC lot (entrance on State Street).
    • City offices lots (east side of DTEC).
    • Street Parking.
  • We encourage you to carpool or walk if you live close enough.
  • Please bring as little as possible with you. We do not have a secure place to store backpacks, purses, etc.
  • We will provide water and light snacks, and Food Trucks will be at the event.
  • Welcome everyone you see – we are all ambassadors for this event.
  • Answer questions. If you do not have the answer, check with the Adult Volunteer working with you or at the Info Booth (Booth #1).
  • Be on the lookout for trash. We want the venue to remain clean, and maintain a positive image.
  • No dogs are allowed inside the Event Center other than Service animals.
  • Should an issue come up, first check with the Info Booth Adult Volunteer or ask a Steering Committee (SC) member. SC members will each be wearing a multi-color bandana and will be on-site all day.
  • If you need to take a break, notify the adult coordinator in your area.
  • Adult Volunteers: In addition to your assigned role, you may also be providing direction to student volunteers in your area.

Student volunteer hours

  • You must bring the service hour form with you to receive credit for the hours you volunteered.
  • Visit the Info Booth (Booth #1) at the end of your shift for sign-off
  • Most shifts are 4 hours long. If you complete your assignment early, as long as you remain at the event and participate as an attendee, we will sign off for 4 volunteer hours.

Medical emergencies

  • Minor cuts, scrapes: accompany the person to the Info Booth (Booth #1) where they can get first aid supplies (do not treat / apply the first aid yourself).
  • Fire, crime or serious medical emergency (unconscious, disoriented, serious injury):
    • Call 911 – Work as a team – one person calls 911, one person stays with the person. The location to give to emergency is 3500 Capitol Ave (Fremont Downtown Event Center). Yell for help if needed!
    • Downtown Event Center staff are on site inside the building and can assist.
    • Notify Downtown Event Center staff and Information Booth (Booth #1) ASAP.
    • Stay with the individual until help arrives.

When you arrive

  • Check in at the Volunteer Check-In booth (Booth #2).
  • You will receive a T-shirt and complete a name badge. Wear both for your entire shift.
  • You will be directed to your location and given specific instructions by one of the Steering Committee, or the Adult Volunteer if you are a student.
  • Walk around the Event Center to take note of key locations, so you can direct attendees to them: Restrooms, Info Booth (which includes First Aid and Lost & Found), Capitol, Liberty, and State Rooms.
  • If you are a 1st shift volunteer, share any tips or helpful info with the volunteer that relieves you.
  • If you are a 2nd shift volunteer, ask the volunteer you relieve what they did and if they have any helpful tips for you.

Reporting to your assigned location

  • Report to your assigned booth, room, or area (at least one Adult Volunteer will be there with you).
  • Help with whatever is needed in your assigned space – moving chairs, helping performers, helping with set-up or take-down, answering questions, etc.
  • If you are a “Floater,” visit each room, booth, or performance space and ask if anyone needs a break or help with anything. If they do, step into their role after receiving directions from them.

Typical volunteer tasks

Depending on your assignment, tasks will vary. Typical tasks and responsibilities include:

  • Greet attendees, be ready to offer assistance and answer questions – having the schedule handy on your phone will make it easier to help folks find what they are looking for.
  • Help performers, Makerspace, and booth members carry in items from the parking lot.
  • Set up chairs on the lawn.
  • Post signs and schedules in performance spaces, lobby, and outside.
  • Check in performers and volunteers.
  • Mark reserved parking spaces and/or help direct attendees coming in from the parking lot.
  • Mark reserved seats in performance spaces.
  • Help in booths – offer to keep an eye on something if a booth staffer needs a break for a few minutes.
  • Notify a Steering Committee member of any issues that arise. SC members will each be wearing a multi-color bandana and will be on-site all day.
  • Communicate your job to your replacement, as needed.
  • Keep your assigned area neat.

We will all be learning how to improve. We want your suggestions (at the Volunteer Check-In booth) after your shift!
